Key Responsibilities
Payroll Processing & Employee Setup
  • Process biweekly payroll and assist with timecard issues as needed.
  • Set up Paycor profiles for new hires, ensuring accurate and complete employee data.
  • Update employee pay rates quarterly.
  • Assist with payroll-related items such as 401(k) questions, unpaid leave, STD/LTD, insurance benefit payments, garnishments, and unemployment claim reviews.
Payroll Tax Setup & Compliance
  • Assign and validate appropriate state and local tax jurisdictions for employees based on work and home locations.
  • Register the company for state and local payroll tax accounts in all new jurisdictions where employees will work.
  • Monitor and maintain access to federal, state, and local tax accounts.
  • Identify potential payroll tax compliance issues and proactively alert the team before deadlines or penalties arise.
Reconciliation & Notice Resolution
  • Review, track, and resolve payroll tax notices received by mail or electronically, coordinating with Paycor or state agencies as needed.
  • Collaborate with internal teams and Paycor to verify tax filings, payments, account statuses, and reconciliations.
  • Maintain organized documentation of tax filings, notices, registrations, reconciliations, and related correspondence.
  • Support quarterly and annual payroll tax activities as needed.
Qualifications
  • Minimum 1-2 years of experience in payroll tax, payroll operations, or related accounting work.
  • Familiarity with multi-state payroll tax requirements.
  • Experience working with third-party payroll providers (Paycor a plus).
  • Strong attention to detail with the ability to identify and address potential compliance risks.
  • Excellent communication and organizational skills.
  • Ability to work independently and prioritize tasks within a part-time schedule.
Schedule & Hours
  • Part-time; hours flexible depending on workload, payroll cycles, and notice volume.
  • Remote or hybrid work arrangements may be considered.
  • Non-payroll weeks: 5-10 hours to review notices and backfilling.
  • Payroll weeks (Biweekly): Monday-Wednesday, approximately 10-15 hours.
