The role:

Due to expansion, we’re seeking an organised and efficient Office Administrator to join our team and support us with various administrative tasks to contribute to the smooth functioning of our offices.

Based in our Bath office, with hybrid and flexible working options, you’ll be reporting to the VP People and supporting our talented colleagues across multiple teams in our day-to-day operations.

Key responsibilities will include the following:

  • Greeting and assisting Bath visitors in a professional and friendly manner, including contractors, interview candidates, customers and visitors to our student Open Days
  • Coordinating incoming and outgoing correspondence from Bath including phone calls and post
  • Arranging couriers and tracking deliveries
  • Ordering, receiving, and maintaining office supplies such as stationery and toiletries for our three UK offices, ensuring adequate stock levels
  • Coordinating food orders for our three UK offices, including the weekly Sainsbury’s deliveries, plus ad-hoc items. This will include stock control on current items in Bath, ensuring any out of date food is disposed of and avoiding duplicated items and/or food wastage
  • Organising the Bath office storage cupboards, disposing of old/out of date items when needed, and ensuring that everything is kept orderly and accessible
  • Ensuring the Bath meeting rooms, kitchen areas and Reception area are always tidy and presentable
  • Co-ordinating travel arrangements and booking accommodation for staff members when required
  • Assisting with the organisation and execution of company events including Company Kick Offs, Summer/Christmas parties, Town Halls, Hackathons and Open Days
  • Supporting other ad-hoc tasks and duties as needed

What you’ll need to be successful:

  • Some previous experience in an administrative or office support role
  • Excellent communication skills, with a high standard of written English
  • Confidence with Office 365
  • Numeracy skills and experience in coordinating orders with suppliers
  • Strong attention to detail and the ability to manage multiple tasks
  • A highly organised and methodical approach, with the ability to plan and prioritise efficiently
  • An enjoyment of organising office spaces and making them as tidy, efficient and attractive as possible
  • A positive and solution-focused attitude
  • Bonus points if you have previous experience of supporting / organising events.
