About WIN Reality, LLC
Description
Who we are
WIN Reality builds the performance technology that helps athletes get better. Smartparks is our live capture system that transforms any baseball or softball diamond into a fully connected, data-rich environment. It elevates the live game experience for teams, spectators, and recruiters by capturing real-time performance data on every pitch and at-bat.
The role
As Installation Coordinator, you will own the execution side of our installation program — scheduling and dispatching our third-party technician network, managing vendor and partner relationships, and ensuring every installation is completed on time, within budget, and to the quality standard our customers expect.
This is a remote position with occasional travel, reporting directly to the GM of SmartParks. We are scaling installation velocity quickly, and the person in this role will help design and refine the operational infrastructure that makes that possible. We are looking for a detail-oriented professional who takes ownership, maintains high standards, and thrives in a fast-moving environment.
Responsibilities
Scheduling and dispatch
- Own the installation schedule end-to-end, from readiness sign-off through technician assignment and day-of execution
- Schedule and dispatch our technician network with precision — the right technician, the right site, the right kit, on time
- Verify all pre-installation requirements are satisfied before any technician is dispatched to a site
- Manage the schedule against hard event-driven deadlines
Execution quality and budget oversight
- Be the DRI of installation quality end-to-end
- Track installation costs by job and by technician; identify and escalate budget variances proactively
- Develop and maintain standard operating procedures for installation execution, pre-site preparation, and post-installation sign-off
- Conduct structured post-installation reviews to capture learnings and drive continuous improvement
- Identify recurring patterns in delays or quality issues and lead root-cause resolution upstream — whether in hardware preparation, site planning, or technician training
Technology and AI fluency
- Actively leverage AI tools, automation platforms, and agent-based workflows to improve scheduling efficiency, reporting accuracy, and operational throughput
- Identify opportunities to automate repetitive operational tasks and build lightweight tools without requiring engineering support
- Comfortable building with and directing AI agents as part of day-to-day work
- Evaluate and adopt new tools that meaningfully improve team performance and operational visibility
- Approach process design with a builder’s mindset, using available technology to solve problems faster and at greater scale
Vendor and partner management
- Serve as the primary point of contact for our installation partners on scheduling, performance, and issue resolution
- Hold partners accountable to agreed service level agreements; track on-time performance, quality scores, and callback rates
- Maintain technician certification and qualification records; ensure the right technicians are assigned to the right work
- Identify capacity gaps in the network and lead onboarding of new technician partners as installation volume grows
- Cultivate strong, professional working relationships with our installation partners — they are a critical extension of our team
Reporting and cross-functional collaboration
- Maintain accurate installation velocity tracking and deliver consistent weekly reporting to leadership
- Surface pipeline risks — site readiness failures, hardware delays, technician availability constraints — before they affect committed deadlines
- Partner closely with WIN SmartParks team on scheduling handoffs, customer communication, and installation readiness gates
- Provide accurate capacity and constraint data to support the S&OP planning process
Qualifications
Required:
- 4+ years of experience managing field operations, installation programs, or contractor and vendor networks at meaningful scale
- Experience managing third-party partner performance against defined service level agreements
- Strong operational discipline — you build processes, track the metrics that matter, and follow through consistently
- Comfortable with budget ownership and cost management at the job level
- Demonstrated ability to build lightweight operational workflows and agents without requiring engineering support
- Clear, professional communicator across vendors, technicians, customers, and senior leadership
- Highly organized and self-directed, with the ability to manage multiple priorities and deadlines simultaneously
- Ability to travel domestically as needed for site visits, partner meetings, and event support (approximately 15–25%)
Preferred:
- Background in AV, low-voltage, camera systems, or hardware field deployment
- Experience scaling a field operations program from low to high volume
- Familiarity with baseball or softball at the high school or collegiate level
- Proficiency with project management and operations tooling such as Jira, HubSpot, Google Workspace
